Ontario assessment guide · 2026–2027

Psychological documentation for Ontario colleges and universities.

A diagnosis, a disability, a functional limitation, a clinical recommendation, and an institution’s accommodation decision are related—but not interchangeable.

Six distinctions that prevent unnecessary reassessment

Post-secondary documentation concepts
TermWhat it means hereWho determines it
DiagnosisA clinical conclusion; not an automatic accommodation decisionA qualified regulated professional
DisabilityA Code-protected status that may be permanent, temporary or episodicEstablished through appropriate evidence and the applicable legal or program framework
Functional limitationHow the disability affects participation or essential academic requirementsDocumented by the student and appropriate professionals; considered by the institution
Clinical recommendationProfessional input the institution considers; it does not bind the institutionThe assessing or treating professional
Academic accommodationAn individualized institutional measure that addresses disability-related barriers without changing essential requirementsThe college or university through its accommodation process
OSAP disability verificationA student-aid process distinct from the institution’s accommodation decisionOSAP under the current student-aid rules

Not every student needs a psychoeducational assessment

There is no universal expiry date for a psychological assessment report. OHRC guidance centres functional limitations and says institutions should request no more medical information than is necessary to understand and address an accommodation need.

A diagnosis is not automatically required in every case. An institution may request diagnostic or other professional evidence when it is relevant and necessary, and interim accommodation may be appropriate while information is clarified.

A comprehensive psychoeducational assessment may be relevant when a specific learning disorder, detailed learning profile or current standardized evidence is actually needed, not simply because an older report exists. ADHD and learning-disability documentation can have distinct evidence requirements. The receiving institution decides its process and essential academic requirements.

Documentation questions by context

Learning disorder

Ask whether current standardized academic evidence is required, whether an older assessment remains usable, and whether updated functional information can supplement it.

ADHD

Ask whether an institution form or regulated-practitioner letter is accepted, and what developmental and functional information is required.

Autism

Ask which professional documentation is accepted and which current academic impacts need description.

Mental-health disability

Diagnosis should not routinely be required; ask what functional limitations, duration and interim needs must be documented.

Temporary or episodic disability

Ask about interim accommodation, expected duration, review dates and update requirements.

OSAP verification and funding

Ask the financial-aid office which 2026–27 disability-verification and BSWD/CSG-DSE forms, dates and approvals apply.

Where is post-secondary assessment available?

BrainLab provides in-person psychological assessment in Ottawa. BrainLab now offers in-person psychological assessments in Toronto. Virtual assessment is available across Ontario and in Nunavut where the referral question and required assessment methods can be addressed appropriately in that format.

The format depends on what needs to be assessed, the student’s age and which methods are required.

Virtual completion does not guarantee that a college or university will accept the resulting documentation; the receiving institution sets its own requirements.

Before booking reassessment

Ask the accessibility office what it needs before booking reassessment.

  • Contact the accessibility office—not only admissions or a faculty member.
  • Ask for the current written documentation standard and any institution form.
  • Ask whether the existing report can be reviewed before new testing is arranged.
  • Ask whether updated clinical information can supplement an older assessment.
  • Ask about interim accommodation while documentation is obtained.
  • Ask the financial-aid office about BSWD/CSG-DSE before incurring assessment costs.
  • Record the answer, date, contact and deadline.

Review and limitations

Institution links last verified September 1, 2026. Requirements may change by institution, program and individual circumstances. The receiving institution makes the accommodation decision.

Next step

Ask the institution before choosing the assessment.

Bring the institution’s current written requirements to the planning conversation so the assessment can be matched to what you actually need.
